Data tools

This page explains how to undo setting changes, move your setup to another site, import data, export all data and delete all data. You need the Manage settings permission (Cliedesk Admins and Owners) unless a section says otherwise.

Undo a settings change

Every settings change is saved as a version, with who made it and which fields changed.

  1. Go to Settings → Privacy & security → Change history.
  2. Choose a group of settings and pick a version from its list.
  3. Select Compare with now to see each field side by side.
  4. Select Restore, then confirm.

Restore brings back that group exactly as it was. The restore is written to the audit log. Rules have their own versions and roll back on their own (see Rules).

Move your configuration to another site

Use this to copy your setup from a staging site to the live site, or back.

  1. On the first site, go to Settings → Developer → Move configuration.
  2. Select Download configuration. You get a JSON file.
  3. On the other site, open the same screen and choose the file under Configuration file from another site.
  4. Select Check what changes. You see what will be created, what will be updated and any conflicts.
  5. Select Apply.

Users, teams, fields and brands are matched to the ones on the new site. A developer can do the same with wp cliedesk config export and wp cliedesk config import (see WP-CLI).

Import contacts and organizations from a CSV file

You need the Import data permission (Cliedesk Admins and Owners).

  1. Open Contacts (or Organizations) and select Import….
  2. Choose the CSV file. It needs a header row. Each contact row needs an email address or a phone number.
  3. For each Column, choose what to Import as, for example Email, Phone, External ID, a custom field or Do not import.
  4. Under Contacts that already exist, choose Only fill in empty details or Replace details with the file’s values.
  5. Select Check file. Cliedesk shows how many contacts are new, updated or have errors. Nothing is saved yet.
  6. Select Import.

A row matches an existing contact by email address or by External ID. Phone numbers are stored in the international format (for example +4915112345678). If some rows fail, select Download the rows with errors. Importers for other help desk tools are available with Cliedesk Pro.

Import old email

Importing old mail from a connected mailbox is available with Cliedesk Pro, together with incoming mailboxes. Gmail, Microsoft 365 and Messenger history are also available with Cliedesk Pro.

Export all data

Go to Settings → Privacy & security → Security and select Export all data. Cliedesk builds a ZIP file in the background. It holds every table as JSON, conversations and contacts also as CSV, and the stored files. You get an email with a download link. The link works for 7 days. Saved passwords and keys are never exported. The export works with or without a Cliedesk Pro licence.

Delete all data

Deactivating or deleting the plugin keeps all your data. To delete everything, a WordPress administrator must ask for it:

  1. Go to Settings → Privacy & security → Security.
  2. Select Delete all data….
  3. Choose when: In 14 days or When the plugin is deleted.
  4. Type the site name exactly as shown, then select Confirm.

In 14 days: nothing is deleted for 14 days. Admins get reminder emails, and Setup Health shows a critical warning. Any admin can select Cancel deletion during this time. On the last day, Cliedesk deletes its data and deactivates itself.

When the plugin is deleted: nothing is deleted now. When you later delete Cliedesk on the Plugins screen (or with WP-CLI), all its data is removed. Deactivating still keeps it. Setup Health shows a warning, and any admin can select Cancel deletion until then.

Export your data first if you may need it.
